Location: Hybrid work environment. Office expectation is approximately 25%. As a community foundation with a statewide focus, community context is an integral aspect of creating effective marketing and narrative shifting strategies to achieve the Foundation’s mission. As such, the incumbent to this position should reside within the state of Minnesota.

SUMMARY
The Advancement Manager supports the Foundation’s impact with donor-partners by managing the Advancement team’s day-to-day administration to achieve the greatest community impact. This project management-based position is responsible for coordinating the Foundation’s fundraising, donor events, engagement and cultivation activities within the Advancement department and across the organization. The Advancement Manager works closely with the Vice President of Advancement and President and CEO to ensure a successful comprehensive fundraising campaign through managing a volunteer committee.

PRIMARY RESPONSIBILITIES
Advancement Team Coordination & Project Management (35%)
  • Project manage advancement-related activities – donor engagement events, cultivation and solicitation calendars, cross-departmental learning opportunities, etc.
  • Coordinate Advancement Team meetings and manage follow-up.
  • Provide administrative support for all advancement-related events in and outside of the office.
  • Analyze, adapt and implement systems and processes to create efficiencies within advancement functions and connect all activities to strategic plan and annual operating plan.
  • Create team meeting agendas, organize meeting minutes and capture team movement.

Manage foundation-related cultivation strategy, and provide fundraising support. (30%)
  • Partner with Vice President of Advancement, President and CEO and Campaign Committee on donor cultivation management including relationship building and correspondence.
  • Support the Vice President of Advancement & President and CEO’s donor portfolio and moves management.
  • Coordinate and prepare fundraising/campaign materials as requested.
  • Implement identified donor engagement strategies and events; project manage activities to completion, including ensuring follow-up strategies are executed.

Comprehensive Campaign Committee administration (30%)

  • Assist the Vice President of Advancement with Comprehensive Campaign Committee and subcommittee meeting agendas, presentations and reports, organize meetings and record minutes.
  • Collaborate with Associate Director of Data Analysis to provide regular updates and fundraising effort summaries to the Vice President of Advancement, Executive Team and Campaign Committee.
  • Work with Vice President of Advancement to prepare materials for staff and volunteer leadership for all assigned fundraising meetings, both internal and external.
  • Lead project management of volunteer solicitation and referral program, activating volunteers for a successful comprehensive campaign.
  • Secure lists and reports to be used with volunteers related to fundraising efforts in partnership with the Associate Director of Data Analysis and Vice President of Advancement.

Project lead for the Foundation’s membership in Federated Campaigns, GiveMN and other employee giving programs. (5%)
  • Complete applications each year for inclusion in State of Minnesota Combined Charities campaign.
  • Procure and order give-away “swag” items for Combined Charities and other Foundation events.
  • Represent Foundation at State of MN Combined Charities campaign events, typically held August-October.
  • Work with the Communications Team to update Foundation’s content on relevant third-party giving sites. (Examples: State of MN Combined Charities, Guide Star, and Give MN web pages.)
  • Lead coordination of additional employee giving programs as needed.

SECONDARY RESPONSIBILITIES
  • Participate as an active member of the Foundation staff by working collaboratively with other staff members; and by communicating openly and honestly with staff and volunteers.
  • Attend Women’s Foundation of Minnesota events, as required and/or as requested by the Vice President of Advancement.
  • Perform all other projects and tasks as assigned by the Vice President of Advancement.
  • Actively participate in WFMN’s learning culture in diversity, equity, inclusion, and accessibility.

JOB SPECIFICATIONS
Desired Education and Experience
  • Bachelor’s Degree or equivalent education and experience.
  • Five or more years of administrative work experience within a nonprofit or philanthropic organization, understanding of a community foundation a plus.
  • Knowledge of Raiser’s Edge databases or similar and Microsoft Office Applications, such as Word, Excel and PowerPoint.
  • Event management, or similar, experience
  • Comprehensive campaign management experience helpful, but not required

Physical Requirements Necessary to Perform This Job
  • Hear and speak in order to use telephone and communicate with people both in and out of the office environment.
  • Visual ability to review information on the computer as well as in hard copy form.
  • Sit at desk for extended periods and perform long hours of work sitting at a computer.
  • Apply manual dexterity for computer keyboarding and office equipment use.
  • Physical ability to move around office area repeatedly throughout the day.
  • Flexible work hours requiring work in excess of 40 hours/week when necessary.
  • Must have reliable transportation to visit off-site locations in Minnesota.
  • Able to perform in-state overnight travel.

Tools and Equipment Used
  • Incumbent must be able to use multi-line telephone, calculator, copy machines, facsimile machines, computers, postage machine, and other office equipment.
  • Able to become proficient in MS Office Suite of software as well as fundraising, publishing and research applications.
