Job Summary
The Development Operations Manager will work as an integral part of the fundraising team, overseeing fundraising project operations and analysis. This essential role is responsible for ensuring all development resources are operationally sound and working effectively, including database management and data strategy. Create routine and special revenue reports to aid in both near term and longer-term fundraising efforts. Develop analysis and results to be presented within the Division and to the Leadership Team, Development Committee and Board of Directors. The position supervises a Development Associate to ensure accurate gift entry, donor acknowledgement, and monthly reporting. Responsible for overall data integrity and accuracy. Other duties as needed and assigned.

RESPONSIBILITIES
Division Planning and Financial Reporting
  • Oversee development projects, ensuring efficiency and smooth workflow.
  • Work with team to optimize daily operations and provide solutions against problem areas.
  • Lead mid-year and fiscal year-end reporting and strategy retreats for division leadership. Lead overall and line-by-line annual and monthly projections.
  • Work with Division Leadership Team to develop detailed annual plans for reaching donation revenue targets.
  • Create donation planning scenarios based on analysis of previous years’ results, trends and expectancies for upcoming years.
  • Work in partnership with Resource Development teams as campaign project manager to provide structure, planning processes and meeting facilitation.
  • Lead campaign, post campaign and pre campaign reporting needs, including preparation of monthly and quarterly reports (Annual and multi-year campaigns as needed).
  • Produce Pledges and Commitments report showing status of pending large gifts and what is needed to reach goals by year end.
  • Assist with the development, management, and monitoring of fundraising budgets.

Database Reporting and Analysis
  • Serve as Raiser’s Edge database administrator for Resource Development.
  • Create and modify tailored reports for Resource Development department as needed, as well as assist with financial and donor reports for the annual audit.
  • Develop custom reports for specific purposes, e.g. action reports, events reports, etc.
  • Propose and prepare targeted presentations to contribute to strategic analysis and discussion at Division and Board level.
  • Supervise Development Associate on generating timely monthly financial reports showing progress to year-to-date goals in each area of fundraising, KPI and relevant organizational Dashboard reports.
  • Support Development Associate in monthly reconciliation meetings with Finance to ensure overall accuracy of donation entry and coding.
  • Stay current in best practices in fundraising and apply that knowledge to our operations.
  • Develop, implement, and support fundraising policies and procedures.

Portfolio, Pipeline & Research Management
  • Ensure updated work plans for top leadership gift solicitors are in place through routine meetings & communications.
  • Manage leadership solicitor portfolios including ensuring donors are moving fluidly in and out of portfolios and between portfolios as appropriate.
  • Assist in managing the pipeline of donors, including reporting on pipeline, results of actions, and next actions, and overall pipeline development.
  • Respond to research requests and provide research analysis on donors and prospects, including identifying potential connections to existing supporters and reviewing financials and other documents to help identify capacity and inclination.
  • Prepare event briefings, including bulk wealth screening for guest lists and providing guidance on key prospects for solicitor conversations. Lead post-event prospect debrief process to capture contact notes for follow up actions.
  • Ensure solicitors have necessary support to ensure successful visits including research, detailed briefings, strategy and meeting support.

Oversee Gift Entry, Acknowledgement Process, and Monthly Reporting
  • Supervise Development Associate to ensure common practices and data accuracy and integrity are maintained.
  • Support Development Associate with work related to Direct Response fundraising, including gift entry, reporting, and generating mailing lists.
  • Review Development Associate progress on regular database maintenance, including bulk record cleanup, quarterly NCOA processing for mail house, and syncs with Volunteer Hub and HubSpot.
  • Lead solutions to distribute peak period gift entry workload to maintain timely donor acknowledgment.
  • Train and coach Resource Development team as needed to ensure common practices and accuracy of data base is maintained.

QUALIFICATIONS
Education:
  • High School diploma or equivalent
  • Associate degree in database management or related course of study. Bachelor’s degree in related field preferred

Experience:
  • 5+ years of experience working with or direct oversight of fundraising and donor database software, preferably including work at the strategic systems level.
  • 2+ years of experience working with prospect research and management.
  • Previous experience managing people and resources.

Knowledge, Skills and Abilities:
  • Proactive team player, leading analytically based insights while working effectively with range of constituent managers.
  • Flexible and responsive to accommodate changes, while maintaining confidentiality of donor information.
  • Excellent oral and written communication skills with excellent interpersonal skills and the ability to provide good customer service to both internal and external customers.
  • Ability and maturity to work on multiple tasks simultaneously and prioritize appropriately.
  • Significant project management experience. Detail oriented with excellent organizational and time-management skills.
  • Working knowledge of Microsoft Office Suite, including Access, Raiser’s Edge or other CRM database, Crystal Reports, and standards prospect research databases.

PHYSICAL REQUIREMENTS
  • Work at a desk and computer for extended periods of time

WORK ENVIRONMENT
  • The work is a hybrid of office and at home/off-site environment.

COMPENSATION
$60,000 to $64,000 annually dependent on qualifications and experience. Exempt, salaried position with excellent benefit package.
