Salary Range: $27.00 to $30.00 hourly

Job Summary:
Reporting to the Chief of Advancement, the Campaign Coordinator will oversee all administrative and operational tasks related to the Walker Art Center’s campaign fundraising. Working with both an internal and external focus, the Coordinator will help execute a successful campaign by supporting the Development team, fundraising consultants, Walker leadership, and Campaign Chairs and committees. Primary responsibilities include: schedule and coordinate committee meetings and donor/prospect meetings; research and track activities for prospects and donors; manage campaign materials and reports; monitor campaign activities and strategies; and support campaign communications and events. The Coordinator will provide essential organizational and analytical skills as well as the ability to steward and communicate with donors and prospects at all levels of support.

Responsibilities:
I. Campaign Committee Coordination
  • Work with Development staff and campaign leadership to schedule all committee meetings.
  • Prepare, organize, and distribute all necessary materials for committee meetings.
  • Attend committee meetings and keep accurate and thorough meeting notes.
  • Track all actionable items discussed during committee meetings.
  • Provide follow-up, clarification, and support on actionable items and help appropriate staff and committee members complete tasks.

II. Donor and Prospect Coordination
  • Schedule and make necessary arrangements for campaign prospect and donor meetings.
  • Coordinate as needed to ensure contacts with campaign prospects do not conflict with fundraising for the Walker’s benefit event Avant Garden, the annual fund, or other fundraising efforts and priorities.
  • Handle all meeting logistics, including lunch reservations, coordinating tours, sending confirmations, and distribution of necessary information prior to meetings.
  • Prepare all materials for meetings; customize, update, and organize materials as directed.
  • Provide follow-up from donor meetings; ensure appropriate acknowledgements and materials are sent and follow-up actions are executed.
  • Ensure meeting reports are drafted and filed, and follow-up actions are recorded for future action.

III. Prospect Research and Administration
  • With Prospect Research/Management staff, coordinate campaign prospect research, lists, and management.
  • Produce and distribute accurate/updated campaign progress reports, including dashboards, prospect lists and pipeline, and donor solicitation plans.
  • Manage all campaign gift processing and donor correspondence, including donor and gift records in Tessitura and paper files, pledge payment reminders, pledge agreements, payments, and timely acknowledgements.
  • Prepare and submit reports to campaign donors.
  • Create and update the campaign schedule; ensure coordination with Walker program calendar and Development events schedule.
  • Maintain an updated list of donor recognition opportunities for the campaign.
  • Coordinate campaign funding credits and donor recognition.
  • Maintain campaign budget tracking.

IV. Communications and Events
  • With campaign leadership and Communications/Content team, support the development and execution of communications and public relations plans for the campaign.
  • With Donor Events/Stewardship staff, help schedule and coordinate all campaign-related events.

V. Other Duties
  • Serve on administrative teams as appointed.
  • Assist with other departmental duties as needed or assigned, including administrative work and scheduling associated with the Board’s Governance and Nominating Committee.

Required Experience:
  • BA or equivalent combination of education and experience; minimum 3 years’ experience working in a nonprofit, development, or administrative support position.
  • Prior experience working on or supporting campaign fundraising.
  • Demonstrated successful experience conducting prospect identification and research for development goals.
  • Strong analytical skills and knowledge of basic accounting principles.
  • Excellent customer service and high degree of initiative, attention to detail, and organization/time management skills; ability to manage and prioritize multiple projects and deadlines at once.
  • Strong communication and interpersonal skills; able to function well within multiple teams and communicate effectively with a wide range of individuals with varied talents, backgrounds, and perspectives.
  • Thrives in a collaborative, team-oriented, high-functioning environment.
  • Ability to work independently and with excellent judgment, discretion, and sensitivity to confidential matters.
  • Ability to remain poised, articulate, and calm under pressure.
  • Proficiency with computers, Microsoft Office, Adobe, online research resources, and donor databases.
  • Ability to lift and/or move print and event materials.
  • Availability and willingness to work weekends and evenings as needed.

Preferred Experience:
  • Experience working in a museum or arts/non-profit setting.
  • Familiarity with Minnesota’s philanthropic communities.
  • Familiarity with arts and culture philanthropy.
  • Tessitura and Wordfly experience

POSITION SPECIFICS
Full-time (35 hours), Hourly Non-exempt, $27-30 hourly, dependent on level of experience; flexibility to work some evenings and weekends required.
