Summary
Reporting to the Advancement Services Manager, the Development Associate is responsible for processing financial and in-kind donations through Blackbaud Raiser’s Edge/NXT and provides key support to the Advancement and Communications Team. This role will also work closely with the Director of Advancement and Communications by providing daily gift entry and donor relations support. Primary responsibilities include processing gift donations, generating acknowledgement letters, writing donor correspondence letters and emails, maintaining accurate records, and tracking donor strategies.

The Advancement and Communications Team is dedicated to Community Centric Fundraising principles and requires commitment. The Development Associate is confident, creative, detail-oriented, and a strong communicator, is able to work independently, and provides excellent customer support for internal and external inquiries.

Responsibilities
Gift Processing and Acknowledgement (60%)

  • Enter and process all financial gifts daily, including mailed-in checks, online donations, and third-party donation platforms.
  • Ensure daily processing of all acknowledgement letters (hard copy and electronic).
  • Create and maintain acknowledgement letter templates (updated quarterly).
  • Support sustaining donor/monthly donor program.
  • Maintain organized and complete files for all donations, either digital or paper as required.
  • Maintain development email lists in customer relationship management software.
  • Assist the Advancement Services Manager with database maintenance to ensure comprehensive, updated, relevant, and accurate data to inform effectiveness of donor stewardship and advancement operations.


Donor Relations Support (25%)

  • Support the Advancement and Communications Director with donor relationship logistics and administrative needs, including writing fundraising letters and emails and supporting donor portfolio management.
  • Support fundraising committees as assigned. Responsibilities include creating agendas, attending meetings to record minutes, and actions and support follow-up.
  • Schedule meetings, coordinate meeting logistics, send confirmations, distribute necessary information prior to meetings, and follow up with materials and action notes.
  • Handle the hospitality needs for meetings, including ordering food, setting up, cleaning up, and greeting guests.


Administrative and Event Support (15%)

  • Schedule team meetings, handle meeting logistics, and take minutes.
  • Serve as the back-up to the Front Desk Coordinator for breaks, meetings, and This position will cover the front desk during lunch breaks (Monday–Thursday from 12:00 p.m.–12:30 p.m.)
  • Monitor and manage the general Development email inbox.
  • As assigned, support the Events and Advancement Associate with event logistics, day-of-event operations, and post-event follow-up and acknowledgements.
  • Assist with social media support and survey development.


This is a full-time, 40 hours per week position. Office hours are 9:00 a.m. to 5:00 p.m. Monday – Friday with an option to work remotely on Fridays after the initial 60-day introductory period. Must be able to work evenings and weekends.

Desired Experience

  • Demonstrated experience with Blackbaud Raiser’s Edge/NXT or another relational database.
  • Demonstrated experience with OneCause, mobile bid apps, or other fundraising platforms.
  • Excellent writing and editing skills.
  • Strong customer service experience.
  • Experience in mission-driven, community-based organizations.
