Development Operations and Database Manager

Join our Development team as a Development Operations and Database Manager. This role sits on our Development Operations team and provides leadership and operational oversight for Second Harvest Heartland’s (SHH) fundraising operations efforts. This person is responsible for managing the database of record, Raisers Edge NXT, assuring high standards of quality, consistency and accuracy of donor and gift information, and business practice workflow and system optimization within RENXT. This person also leads reporting and analytics for the Development team, including the creation and maintenance of standard and ad-hoc reports. This person will interface with key stakeholders across the organization and must possess exemplary management and communication skills, keen attention to detail, and initiative and eagerness to excel in all responsibilities within this role.
Work Schedule:
Hybrid, Full-Time, 40 hours / week.
Duties and Responsibilities:
Database Administration
- Serve as database administrator for customer relationship management system (RENXT). Liaise with SHH IT team and Blackbaud to help solve issues. Meet with Blackbaud Customer Support Manager on a monthly basis.
- Lead SHH’s use of Omatic tools to support RENXT database. Manage ImportOmatic to integrate RENXT and other third-party data sources (volunteer data, Luminate Online).
- Manage process improvement projects for development team’s use of RENXT. Stay abreast of changes and new advancements in development technologies, including automation opportunities.
- Direct management of project schedules and associated deadlines for information requests, evaluation, and prioritization of requests; coordinate data entry and maintenance projects; inform user community of changes in policies, procedures, and data locations within the database.
- Responsible for ensuring the accuracy and integrity of donor data in RENXT, including input and output, and end-user training and support.
- Develop, maintain, and update a dynamic list of policies, procedures, and regulations related to the use and maintenance of RENXT.
- Maintain familiarity with donor tracking, communication and research tools, such as Galaxy Digital, financial data sources and external resources such as prospect research services, NCOA and U.S. Postal Service.
- Serve as liaison with IT relating to activities involving donor data systems and systems solutions.
- Develop and lead data systems training programs to ensure all development staff are appropriately trained on RENXT, Luminate Online, etc. for most effective and efficient use of the donor database.
- Serve as power user for customer relationship management system (RENXT) and online giving platform (Luminate Online) with support from Information Technology (IT) team.
Reporting and Analysis
- Conduct analysis and reporting of key performance metrics, including quarterly review of fundraising activity.
- Support the Chief Development Officer with the creation of regular performance reports on Development fundraising productivity to generate and distribute a variety of daily, weekly, monthly reports, and status updates. Harness business intelligence tools (PowerBI, etc.) to improve reporting efficiency and data integrations.
- Oversee development, production, and documentation of standard and ad-hoc reports for staff use.
- Develop and run a variety of statistical reports showing the performance of the donations.
- Analyze and report campaign results as requested, including donor portfolio/pipeline reports and demographic profiles that will improve future campaigns.
- Prepare documentation for Feeding America quarterly and annual reporting and the annual audit in conjunction with Finance.
- In partnership with Gift Processing Manager, lead monthly reconciliation of Development revenue. This includes overseeing entry, release, and tracking of restricted gifts, and gifts applied to proposals and pledges. Serves as liaison with the Finance Department to ensure accuracy of donation records and deposits in NetSuite.
- In partnership with Gift Processing Manager, coordinate with Major Gift Officers and Development directors to support the annual budgeting process, assuring accurate accounting and the elimination of double-counting incoming revenue.
Fundraising Operations and Prospect Research
- Support Development in donor acquisition and cultivation activities by providing data files including mailing lists, suppression files, and results information.
- Oversee creation of appropriate donor lists and advise on criteria for lists, based on requests from the Development department and others, to ensure appropriate mailing of appeals, newsletters, and invitations.
- Oversee support for Development Officers, Community Engagement which includes special events, and Capital Campaign through management of invitation lists and event attendance data.
- Pull annual report lists and reviews with Development. In conjunction with Finance, prepares annual report financial data.
- Assure the availability of data necessary to plan and conduct annual recognition programs, including creation of donor recognition lists.
- Contribute to the development and execution of strategies in support of SHH’s annual fundraising goals, working with development staff in designing processes to help identify, cultivate, and steward a diverse base of donors and partners.
- Proactively support Development teams on use of RENXT, partnering on process creation and improvement to support data entry, moves management, and forecasting.
- Collaborate with Development teams on additional data queries and requests as needed.
Team Management
- Oversee Prospect Management and Development Operations Specialist.
- Provide leadership through coaching, directing work, and establishing levels of accountability and professional development to staff who: enter gifts and related information to ensure the accuracy and promptness of data entry; and who provide customer service to donors to ensure responses address donors’ needs and are accurate and appropriate.
- Serve as back-up for Gift Processing and Donor Services Manager.
Must Have:
- 2+ years of experience hiring / managing a team.
- 4+ years successful experience in Development Operations / Donor Relations, including process improvement and project management or a combination of education and experience generally attained through a bachelor’s degree in a related field(s) (Finance or Administration).
- Knowledge and experience with donor database administration.
- Proficiency in overall non-profit fundraising and development operations best practices.
- Demonstrated critical thinking skills to analyze/interpret data and understand its relationship to fundraising objectives.
- Demonstrated ability to effectively communicate across different teams and roles and provide exceptional customer service to create an inclusive environment where everyone is welcomed and valued.
- Advanced skills with Microsoft Office, Office 365 and the ability to learn other computer software programs.
- Ability to work with flexibility, efficiency, and enthusiasm, both individually and as part of a team in a fast-paced, high-demand environment.
- Ability to give direction and develop constructive and cooperative working relationships with staff.
Nice to Have:
- Raiser’s Edge NXT, Luminate Online and Omatic experience highly preferred.
- Strong aptitude for data visualization. Power BI experience a plus.
- Bilingual in other languages highly desired, (Spanish, Somali, Hmong).

Starting Pay Rate: $58,000- $75,000. / Dependent on Qualifications and Experience.
