GENERAL RESPONSIBILITIES
This position will operate in alignment with Ascension parish’s mission of providing a sanctuary in which all are invited to recognize, acknowledge and live in God’s presence. Employment in and by the Roman Catholic Church is substantially different from secular employment. Church employees must conduct themselves in a manner that is consistent with and supportive of the mission and purpose of the Church. Their public behavior must not violate the faith, morals, or laws of the Church or the Archdiocese, such that it can embarrass the Church or give rise to scandal. It is preferred that this employee be an active, practicing Roman Catholic. PURPOSE OF POSITION
The Manager of Data Services at the Church of the Ascension and Ascension Catholic Academy ensures the provision of high-quality donor information, supporting the effective development, volunteer, parish, and alumni programs. In addition, the manager is responsible for maintaining a well-organized and supported function across the advancement department, ensuring high-quality database management and administrative efforts. This involves managing table management, data entry, tracking and reporting for volunteer involvement, development event attendance, gift processing and acknowledgments, donor research and records. The Manager also develops process guides and conducts staff trainings on database usage, while working from the Ascension Parish office and providing support for the database function of Ascension Catholic Academy and its schools (Ascension, St. John Paul II, St. Pascal Regional and St. Peter Claver) as well as the Friends of Ascension organization.
REPRESENTATIVE RESPONSIBILITIES
- Design, manage and execute data maintenance to ensure the highest quality of information for donors, volunteers, parishioners and ambassadors resides in our Salesforce database. Tactics for which this position is responsible for include, but are not limited to, deceased finders, address scrub, wealth screens, and scanning and uploading documents associated with grants, individual donations and planned gifts.
- Execute 250-500 gift entries per month and work in partnership with development manager to acknowledge 1,400+ donors throughout the year.
- In collaboration with the finance team, ensure daily receipt logging and monthly reconciliation is completed in a timely fashion.
- Develop, refine and present reports on written key performance indicators for senior staff. Create ad hoc reporting for grants and individual appeal initiatives as needed.
- Design and manage the prospect management program to fully research donor capacity and connections to the mission of Ascension Catholic Academy and Church of the Ascension. Provide data and donor records to development manager responsible for execution of prospect management meetings.
- Collaborate with volunteer team to design and manage volunteer tracking systems in Salesforce database. Create reports in collaboration with volunteer manager to assess effectiveness of volunteer program.
- Serve as liaison to Friends of Ascension Catholic School. Duties include, but are not limited to, preparing audit materials, and executive of payables, tracking and facilitating gifts.
- Triage incoming donor inquiries for resolution by team members in the advancement department or the broader organization. Elevate inquiries to vice president of Advancement when necessary.
- Ensure that the organizational gift acceptance policies, vision, mission and values are at the center of all programs for which this role is responsible.
- Create and update database process and procedure documents to ensure best practices are known and followed by staff. The responsibilities listed above are representative responsibilities intended to describe the general nature and level of work performed by employees assigned to this position.

POSITION QUALIFICATIONS
- Bachelor’s degree preferred and 3-5 years of experience with database management within a non-profit or parish setting.
- Excellent written and verbal communication skills.
- Strong analytical capabilities.
- A working knowledge of Microsoft Office (Word, Excel, Outlook), database management programs, internet research and basic office-oriented equipment. Experience with Salesforce software and advanced Excel skills are strongly preferred.
- Demonstrated ability to work with a high level of thoroughness, accuracy and detail in routine work.
- High standards of excellence and a “do whatever it takes to accomplish the job” attitude.
- Ability to work with little supervision. Possess sound judgment with ability to balance independent action with adequate communication with the vice president of advancement.
- Self-motivated with creative and efficient use of time and resources in planning and managing various responsibilities to meet tight deadlines.

ANNUAL GOALS
Specific annual goals will be determined and evaluated with the direct supervisor. These goals, along with the responsibilities listed in the position description, will be reviewed on an annual basis through a performance review. Goals will be determined in June for the following fiscal year.
