As our Database Administrator & Prospect Management Specialist, you’ll be the backbone of our fundraising and donor engagement efforts. Reporting to the Major Gifts Officer, you’ll manage and optimize our donor database (Raiser’s Edge NXT), support the strategy behind prospect identification, and provide data insights that shape how we connect with donors. Key Responsibilities Include:
- Serve as the primary administrator for Raiser’s Edge NXT and maintain accurate, consistent, and confidential donor records.
- Create, manage, and optimize queries, reports, dashboards, and exports to support fundraising goals and data-driven decision-making.
- Reconcile donations with the finance department and produce reports for audits, forecasting, and leadership planning.
- Conduct proactive and reactive research to identify prospective individual, foundation, and corporate donors.
- Prepare high-quality donor profiles and briefing materials for meetings and events.
- Track and manage donor engagement pipelines and assist in portfolio development with the External Relations team and CEO.
- Provide training and technical support to staff using Raiser’s Edge and ensure the best data entry and integrity practices.
- Contribute to the planning and execution of fundraising campaigns, donor communications, and special appeals.
- Monitor philanthropic trends and giving patterns to identify aligned donor prospects.
- Actively participate in Avivo’s Undoing Racism efforts and ensure all services and communication are culturally responsive.
What You Offer
Required:
- 3+ years of experience administering Raiser’s Edge NXT or similar CRM
- Bachelor’s degree or equivalent experience in nonprofit, business, or information systems
- Detail-oriented with a passion for data integrity and meaningful donor relationships
- Proficiency with Microsoft Office Suite, particularly Excel and Word mail merges
- Ability to manage multiple projects and deadlines with grace
- Strong interpersonal, communication, and problem-solving skills
Preferred:
- Experience with donor research platforms (e.g., DonorSearch, Research Point)
- Knowledge of fundraising strategies and donor lifecycle best practices
- Comfort with online fundraising platforms or email marketing tools
- Experience in nonprofit fundraising or database management
