Position Purpose:
This position plays a key role in advancing the organization’s fundraising and engagement goals by supporting annual giving, special events, and donor stewardship. The Development Associate helps ensure the success of the annual giving program and the New Americans New Beginnings fundraising event, while also strengthening the Development team’s overall effectiveness through accurate donation data, and reliable operational support. Reporting to the Annual Giving Manager, this role keeps multiple projects on track across timelines and teams and requires strong project management, effective prioritization, and the ability to balance competing demands. The role is a new permanent position, part of a nine-person Development team that includes individual giving, major gifts, grants and contracts, communications, and volunteer programs.

Responsibilities:
Development Team Support (20%)

  • Provide project management support including maintaining team calendar and deadlines.
  • Support mailings, donor communications, and stewardship.
  • Supervise volunteer activities as requested.
  • Support the acknowledgement of in-kind gifts, recording donor information, donation details, and provide donor stewardship.
  • Manage inventory of marketing materials available for front desk walk ins, student intake and outreach events, and update content on www.iimn.org, a WordPress website as assigned.
  • Develop and copyedit content for PowerPoint presentations, monthly e-news, social media posts, and other media and publications, as assigned.


Events Logistics, Marketing and Management (30%)

  • Provide onsite support for all outreach and fundraising events.
  • Support event logistics for quarterly Breakfast Circles and other events.
  • Create timelines, meet deadlines and manage the operations and systems of the event with a focus on revenue generation and creating a memorable donor experience. 
  • Manage vendor relationships and oversee all contracts, including venue, auctioneer, event software, entertainment, and other vendors.
  • Coordinate live and experience auctions. Write auction descriptions, prepare marketing assets and visual displays to promote opportunities to event participants.
  • Collaborate with Annual Giving Manager in the creation of event sponsorship package and participate with development team members in securing and stewarding sponsors, table hosts, and auction donors. 
  • Provide direction and support to Institute communications staff in implementing a cohesive marketing plan to maximize attendance and revenue.
  • Manage event registration and auction software, event website, and payment processing. Import post-event records in Neon CRM. 


Data Entry, Gift Processing and Data Management (50%)

  • Process donations, tribute gifts, and prepare acknowledgements.
  • Maintain accurate donor records and account details in the database. 
  • Reconcile donation entry in partnership with Finance, including recording cash, check, credit card, stock, and in-kind gifts in NeonCRM.
  • Reporting and donor segmentation: Use NeonCRM to generate mailing lists, segment and track donor audiences, prepare donor lists for the annual report, and produce quarterly reports that assess program effectiveness.
  • Digital fundraising tools: Build and integrate online campaign forms and peer-to-peer fundraising tools within NeonCRM.
  • Donor communications support: Prepare mailing lists, complete mail merges, and print donation acknowledgement and donor stewardship letters.
  • Provide general support to the Development team by updating donor accounts and recording activities in NeonCRM.


Position Requirements (Experience and Qualifications):

  • Minimum of three years’ work experience in nonprofit development, administrative support, or customer service.
  • Proficiency in Microsoft Word, Excel, Power Point and Google applications
  • Strong relationship, collaboration, and communication skills as well as the ability to work independently are essential. 
  • Experience utilizing customer relationship management (CRM) software to record and report data, preferred but not required.
  • Sensitive to confidential information and professionalism in working with organization donors and volunteers.
  • Occasional work during the evenings and weekends may be necessary.


Physical Demands:

  • Use of manual dexterity, tactile, visual, and audio acuity. 
  • Use of repetitive motion, prolonged periods of sitting, and sustained visual and mental applications and demands. 
  • Occasional lifting (up to 25 pounds), bending, pulling, and carrying.
