Children’s Theatre Company (CTC) is seeking qualified candidates with a background in fundraising and donor relations for the position of Donor Relations Coordinator. This is a full-time position with Monday through Friday office hours with occasional evening and weekend work. This position requires someone who is knowledgeable about donor database systems, who is detail-oriented, collaborative and donor focused, and who has the ability to positively contribute to an anti-racist/anti-bias organization. Applicants for this role should have robust communication skills, an ability to adapt to adjusting priorities, and strong time management skills.

POSITION SUMMARY The Donor Relations Coordinator has both internal and external customers, and plays a key role in support of stewardship of CTC donors. They help coordinate operational and administrative aspects of the Luminary Circle and other annual and special campaigns. This role reports directly to the Director of Development, and works closely with the Annual Fund Manager, Development Data Assistant, Managing Director, Artistic Director, and Board Development Committee.
This position reports to the Director of Development.
ESSENTIAL FUNCTIONS:Donor Relations Support
- Manage Plans functionality in Tessitura in support of all moves management for individual donors:
- Create annual plans for all Luminary Circle donors giving $2,000+, board members, and other donor prospects
- Work with Development Data Assistant and team to ensure proper tracking of data fields
- Create weekly moves management reports for Director of Development, Managing Director and Artistic Director
- Help develop agenda for bi-weekly Donor Strategy and Plan Review Meetings
- Provide other administrative support as needed to the Director of Development on the execution of the Plans in their donor portfolio, including scheduling donor meetings and making follow-up calls
- Work with Director of Development, Annual Fund Manager, and Special Events Manager to outline annual donor benefits, including engagement and recognition events
- Work with team to ensure donor benefit fulfillment, including defining and pulling invitation lists, taking RSVPs, helping with follow-up calls and post-event thank you notes, and researching attendee capacity and interest
- Provide superior, engaging experiences to donors through exceptional customer service (i.e. assisting with ticketing requests, donation questions, or other special needs)
- Participate in relationship building and donor cultivation initiatives and work alongside other staff to support a variety of special fundraising and cultivation activities throughout the year, including opening night receptions, donor luncheons and the Curtain Call Ball
Research
- Assist with research efforts to qualify and track donor prospects; use this research to provide support in developing individualized cultivation plans
- Enter research data into Tessitura so that it can be fully utilized
- Partner with Director of Development and Annual Fund Manager to analyze trends in individual giving and to discover new methods of identifying promising major donor and campaign prospects
- Maintain contract with Wealth Engine (or other research vendor); stay up-to-date on product capabilities; ensure CTC is maximizing and leveraging these capabilities
General Development Support
- Attend all Development Committee meetings of the Board of Directors; take and distribute meeting minutes as needed
- Participate in Curtain Call Ball; oversee a specific component of the event, e.g. silent auction or volunteer recruitment/coordination (TBD)
- Serve as a back up to Development Data Assistant for gift entry and thank you processes
- Produce lists as needed for donor cultivation and analysis
- Generate reports and statistical output for development staff and others requiring donor/financial reports
Future Campaign Support (timeline TBD)
- Schedule and attend all campaign committee meetings; take and distribute meeting minutes
- Maintain and update campaign prospect lists, gift charts and other related materials
- In partnership with Director of Development, prepare regular campaign reports to share with key staff and volunteer leadership
- Ensure proper recording, acknowledgement and stewardship of campaign pledges and gifts per donor preferences; ensure every pledge and gift is managed seamlessly so that the donor is officially thanked within established time parameters
Collaborate with all staff in the furtherance of CTC’s goal of being an anti-racist/anti-bias theatre that works towards Justice, Equity, Diversity and Inclusion
- Encourage and empower everyone to speak out against racist and/or biased workplace practices and policies
- Study topics that lead to a deeper understanding of how white supremacy, racial violence, and systemic racism have shaped American society and how that shapes CTC’s workplace and the lives of CTC employees
- Positively contribute to the ACT One platform, creating a future where our theatre is a home for all people, all families, reflective of our community

- Demonstrated development experience, including demonstrated skills in customer service, donor relations and event coordination
- Demonstrated knowledge of donor database systems

COMPENSATIONThe starting pay for this position is a range of $20.75 to $23.25 per hour. Benefits include medical, dental and vision insurance; short-term and long-term disability and life insurance; vacation and sick leave; nine paid holidays; and a 403(b) retirement savings plan.
